TERMS & CONDITIONS
Please read these Terms and Conditions carefully before making a booking. By paying your deposit and/or any subsequent instalments, you confirm that you have read, understood, and agreed to be bound by these terms in full. If you have any questions before booking, please contact us.
1. Terms of Service
Your Yoga Retreats Ltd sets out what is included in each retreat on the relevant trip information page. Unless otherwise stated in writing, the following are not included in the retreat price:
International or domestic airfare
Airport transfers (unless specified)
Travel insurance (required — see Section 6)
Alcohol or additional beverages beyond those specified in the programme
Gratuities and personal expenses
Visas, travel documents, and vaccinations
Any optional excursions or activities offered at additional cost
Your Yoga Retreats Ltd is not 'all-inclusive' unless specifically stated. Whilst some meals and drinks are provided as part of your package, additional charges for food and drink may apply. You should ensure you have sufficient means to cover any additional costs for the duration of your retreat.
2. Reservation
To reserve your place on a retreat, please complete the booking form with payment as specified for your chosen trip. Your place is not confirmed until your deposit has been received and processed and you have received a written booking confirmation from Your Yoga Retreats Ltd.
3. Payment
Payment can be made by bank transfer or debit/credit card. For retreats where a deposit has been paid, the final balance is due no later than 90 days before the departure date.
If the final balance is not received by this deadline, Your Yoga Retreats Ltd reserves the right to cancel your reservation and release your space. If you anticipate difficulty meeting a payment deadline, please contact us by email as soon as possible.
Where a payment plan has been agreed at the time of booking, instalments must be made in accordance with the agreed schedule. Each instalment received will be credited against the total outstanding balance until payment is received in full.
Full payment of the retreat fee must be received no later than 90 days before the Retreat Start Date. In the event you fail to make payment in full by this date, your retreat booking will be cancelled and all monies paid to us to date will be forfeited. You will also be liable for any reasonable additional charges incurred by us as a result of your booking being cancelled.
4. Deposit
A non-refundable deposit of £350 per person is required at the time of booking to secure your reservation. The deposit is applied toward the total cost of your retreat.
The deposit is strictly non-refundable under all circumstances, including but not limited to cancellation by the participant, inability to attend due to illness, injury, personal emergency, travel disruption, or any other unforeseen event.
In the event that Your Yoga Retreats Ltd cancels a retreat due to its own default or failure to deliver (other than in circumstances constituting a Force Majeure Event as defined in Section 5), the deposit will be refunded in full or, at your option, transferred to another retreat.
5. Cancellation, Changes & Force Majeure
5.1 Cancellation by the Guest
If you wish to cancel your booking, you must notify Your Yoga Retreats Ltd in writing. Cancellation takes effect from the date written notification is received. The following terms apply:
Notice Given More than 90 days before departure
Refund Entitlement Full refund of payments made, excluding deposit
Deposit Non-refundable
90 days or fewer before departure - No refund — 100% of trip price forfeited
Non-refundable
Any amount forfeited which has not yet been paid to Your Yoga Retreats Ltd will be recoverable as a debt due and payable. We strongly recommend that you hold travel insurance covering trip cancellation from the date of booking.
5.2 Changes to Your Booking
If you wish to amend any aspect of your booking, please contact us in writing as soon as possible. Changes are subject to availability and cannot be guaranteed. Where a change results in a higher price, the additional amount is due within 14 days of confirmation. Where a change results in a lower price, the difference will be credited or refunded at our discretion.
Your Yoga Retreats Ltd reserves the right to make reasonable changes to the retreat programme, schedule, facilitators, or included activities where necessary. Material changes will be communicated as soon as reasonably practicable. Minor changes such as session timings or the ordering of activities do not constitute grounds for cancellation or refund.
5.3 Cancellation by Your Yoga Retreats Ltd
In the event that Your Yoga Retreats Ltd cancels the retreat due to its own default — including a decision made within Your Yoga Retreats Ltd's reasonable control, or insufficient enrolment — participants will be offered either a full refund of all monies paid including the deposit, or a transfer to another retreat of equivalent value, at the participant's election.
Where cancellation arises from a Force Majeure Event as defined in Section 5.4, the Force Majeure terms apply exclusively and no cash refund will be due. Your Yoga Retreats Ltd is not responsible for any expenses or damages incurred as a result of any cancellation, including but not limited to preparation costs, airline tickets, travel documents, visas, vaccinations, gear purchases, or other expenses. You will not be entitled to claim any additional amounts or seek compensation for any direct or consequential loss arising from such cancellation.
5.4 Force Majeure
Neither party shall be in breach of these Terms nor liable for any failure or delay in performance arising from events, circumstances, or causes beyond their reasonable control (a "Force Majeure Event"). Force Majeure Events include, but are not limited to:
Acts of God, natural disaster, fire, flood, earthquake, or extreme weather
Epidemic, pandemic, or public health emergency
War, invasion, armed conflict, terrorism, or civil unrest
Government action, sanctions, law, regulation, or travel restriction
Advice issued by the UK Foreign, Commonwealth & Development Office (FCDO) against travel to the retreat destination
Strikes, industrial action, or failure of public utilities
Failure or unavailability of third-party suppliers, venues, or transport providers
Any other event that could not reasonably have been anticipated or prevented
IMPORTANT: In the event of a Force Majeure cancellation, no refund and no credit will be issued under any circumstances, including the deposit. Your Yoga Retreats Ltd's liability in Force Majeure circumstances is nil. Participants are required to hold comprehensive travel insurance covering trip cancellation and curtailment from the date of booking — any losses arising from a Force Majeure Event must be claimed through your own travel insurance policy. See Section 6.
Your Yoga Retreats Ltd will notify participants of a Force Majeure cancellation as soon as reasonably practicable and will endeavour, where possible, to reschedule to an alternative date. No financial liability arises from any failure or inability to reschedule.
Your Yoga Retreats Ltd accepts no liability whatsoever for any costs incurred independently by participants in connection with a Force Majeure Event, including but not limited to flights, accommodation, visas, vaccinations, or other preparation costs.
5.5 FCDO Travel Advisories
Your Yoga Retreats Ltd monitors FCDO travel guidance for all retreat destinations. If the FCDO issues advice against all but essential travel, or against all travel, to a retreat destination prior to departure, Your Yoga Retreats Ltd reserves the right to cancel or postpone the retreat. In such circumstances, the Force Majeure terms in Section 5.4 apply and no cash refund will be due.
It is your responsibility to check current FCDO guidance for your destination before booking and to ensure your travel insurance covers you in the event that an FCDO advisory affects your ability to travel.
5.6 Chargebacks
Given our clear refund and cancellation policy, no chargeback or threatened chargeback claims will be accepted. If you have any concerns with your retreat or our services, you agree to contact us in writing in the first instance so we may seek to resolve the matter. If you pursue a chargeback claim without first contacting us, you accept that such action constitutes a breach of this Agreement and you agree to indemnify Your Yoga Retreats Ltd against any charges, costs, or fees imposed by your debit or credit card provider or our merchant service provider, together with our reasonable costs at a rate of £60 per hour.
6. Travel Insurance
Travel insurance is a mandatory condition of booking with Your Yoga Retreats Ltd. You must hold a valid, comprehensive travel insurance policy before your retreat begins. Failure to hold adequate insurance does not affect or extend Your Yoga Retreats Ltd's liability to you.
Your policy must include, at minimum:
Trip cancellation and curtailment (including Force Majeure events and FCDO advisory changes)
Emergency medical treatment and hospitalisation
Medical repatriation
Personal liability
Loss or theft of personal belongings
Travel delay or missed departure
It is your sole responsibility to ensure your policy is appropriate for your individual circumstances, including any pre-existing medical or mental health conditions, the nature of the activities offered on retreat (including yoga, movement, breathwork, somatic practices, and shadow work), and the specific destination. Insurance should be arranged from the date of booking, not the date of travel.
7. Travel Documents & Immunisations
It is your sole responsibility to obtain all required travel documents, including valid passports, visas, entry permits, and any other documentation required for your destination. Information regarding documentation requirements is provided per retreat on booking, or you may contact us for further guidance.
It is also your responsibility to obtain any required or recommended vaccinations and immunisations for your destination. Please consult your nearest travel clinic for the latest requirements well in advance of travel.
8. Health, Wellbeing & Your Responsibility
8.1 Declaration of Health
By completing your booking you represent that you are in a suitable state of physical and mental health to participate in the retreat and its activities. You confirm that you are not aware of any physical conditions, injuries, or medical contraindications that would adversely affect your ability to safely take part.
The activities offered by Your Yoga Retreats Ltd may include yoga, movement, breathwork, somatic practices, shadow work, sound healing, meditation, and other wellness and embodiment modalities. You acknowledge that participation in these activities involves inherent risk, and you voluntarily assume all risks related to such participation.
You agree to:
Disclose any physical or mental health conditions, injuries, or concerns to our team prior to the retreat
Seek independent medical or psychological advice before attending if you are in any doubt as to whether the retreat is suitable for you
Inform a retreat facilitator immediately should you experience any health concerns during the programme
Take personal responsibility for your own wellbeing throughout your stay
Your Yoga Retreats Ltd reserves the right, in its sole discretion, to exclude any participant from specific activities or from the retreat entirely where their participation is considered to present a risk to themselves or to others. No refund will be due in such circumstances.
8.2 Mental Health Disclaimer
Whilst Your Yoga Retreats Ltd aims to provide a restorative and transformative experience, we are not a mental health facility and we do not offer clinical, therapeutic, or diagnostic mental health services. Our offerings are facilitated by experienced practitioners and are designed to support personal exploration and wellbeing — they are not a substitute for professional medical or psychological treatment.
We recognise that retreat experiences — including somatic work, shadow work, and breathwork — can bring up emotions, memories, or personal material that may be challenging. Whilst our facilitators are experienced in holding safe space, they are not licensed therapists and cannot provide clinical support. We encourage all guests to make an honest assessment of their current mental and emotional health before booking, and we are happy to discuss any concerns prior to your reservation.
It remains your sole responsibility to consult with an appropriate healthcare provider in the event of any underlying physical or mental health condition before booking. Once your reservation has been made, it will fall under our standard booking terms and conditions.
Your Yoga Retreats Ltd will not be held liable for any physical injury, emotional distress, or triggering of mental health episodes arising from participation in our offerings. You embark on all activities at your own risk. By booking, you agree to hold Your Yoga Retreats Ltd harmless and waive any right to hold the company accountable for losses suffered through participation in retreat activities.
9. Release & Waiver of Liability
By agreeing to these Terms, you hereby release and discharge Your Yoga Retreats Ltd, including its owners, directors, employees, guides, yoga teachers, facilitators, and partners, from all liability for personal injury, illness, emotional distress, incurred travel expenses, or property damage arising from participation in a Your Yoga Retreats Ltd retreat, including but not limited to losses resulting from weather, local political situations, civil unrest, wildlife, acts of God, or other uncontrollable circumstances, including the risk of death.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by applicable law.
10. Code of Conduct
Your Yoga Retreats Ltd is committed to creating a safe, respectful, and supportive environment for all participants. By attending, you agree to:
Treat all participants, facilitators, and support staff with respect and consideration
Honour the privacy and confidentiality of other participants — what is shared in the retreat space stays there
Refrain from the use of non-prescribed substances throughout the retreat
Adhere to any venue house rules communicated by the retreat team
Our retreats often welcome guests who are themselves facilitators, yoga teachers, healers, and wellness practitioners. Whilst we respect your experience and background, we do not permit unsolicited advice, coaching, fixing, or guidance from anyone other than our nominated retreat leaders and facilitators. If you are found to be advertising, consulting, or selling your services to other guests without prior written agreement with Your Yoga Retreats Ltd, you may be asked to leave the retreat without compensation.
Your Yoga Retreats Ltd reserves the right to remove any participant whose behaviour is deemed disruptive, harmful, or in breach of this code of conduct. No refund will be due for any portion of the retreat not attended as a result. Your Yoga Retreats Ltd carries no responsibility or liability for any participant who leaves the retreat prior to its conclusion or for any activity undertaken outside the retreat itinerary.
11. Photography, Video & Media Rights
Your Yoga Retreats Ltd and its team may capture photographs, video, and other media during retreats for promotional, educational, and marketing purposes. By attending, you acknowledge and agree that:
Your image, likeness, and/or voice may appear in such materials
All media rights belong exclusively to Your Yoga Retreats Ltd
You grant unlimited permission to use, reproduce, and distribute any media containing your image or likeness across all platforms and formats
No compensation will be provided for such use
You waive any right to inspect or approve the final materials
This consent is perpetual and may be used for future marketing purposes
If you do not wish to be photographed or filmed, you must notify us in writing prior to your arrival. We will make all reasonable efforts to accommodate such requests, though complete exclusion from all media capture in group settings cannot be guaranteed.
12. Data Protection & Privacy
Your personal data (including name, contact details, health disclosures, and booking information) will be held and processed by Your Yoga Retreats Ltd in accordance with the UK General Data Protection Regulation (UK GDPR) and applicable data protection legislation. Your data will be used solely for the purposes of administering your booking, communicating with you about your retreat, and where applicable, marketing future retreats where you have provided consent.
We will never sell your personal data to third parties. Our full Privacy Policy is available on request.
13. Governing Law & Disputes
These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
